How to Transfer Pet Medical Records When You Move or Switch Vets

Switching vets — because you moved, because you weren't happy with the old one, or just because life changed — almost always means your pet's history needs to move too. Most clinics will transfer records on request, but "on request" is doing a lot of work in that sentence, and there are gaps worth knowing about before you need this.

What's actually involved in a transfer

In most cases, you'll need to formally request your records from your previous vet, often via a signed release form, and they'll send them directly to the new clinic or give you a copy. This isn't usually instant — it can take anywhere from a few days to a couple of weeks, depending on the clinic.

What tends to get left out

• Older history — some clinics only transfer recent records by default unless you specifically ask for the full file
• Behavioral notes — informal observations a vet made that never made it into the formal chart
• Your own observations — anything you noticed between visits that you mentioned verbally but was never written down

Why keeping your own copy changes everything

If you already have a personal copy of vaccination history, medications, allergies, and major vet visits, a clinic-to-clinic transfer becomes a formality rather than a dependency. You can hand a new vet a complete picture on day one, regardless of how quickly the official transfer happens — which matters a lot if your pet needs care before that transfer completes.

The transfer checklist

1. Request a full copy of records, not just "recent" — specify this explicitly
2. Ask for vaccination history with dates, not just a current status summary
3. Confirm any ongoing prescriptions and whether refills need to be reauthorized by the new vet
4. Get your pet's microchip registration updated with your new address, if you've moved
5. Bring your own copy of records to the first new-vet appointment, regardless of whether the official transfer has gone through yet
